HVAC software: the maintenance agreement is the business

Service agreements, seasonal load, equipment history and warranty claims - the four things that make HVAC different from any other trade a generic platform was designed for.

What this trade does that the generic platforms miss

HVAC is not a job business, it is a contract business. The revenue that matters is the maintenance agreement: recurring, scheduled, renewable, and the reason a customer calls you rather than whoever answers first when the unit fails in August. A platform built around one-off jobs treats the agreement as a series of unrelated visits, which is how renewals get missed.

Then there is the equipment. A generic system attaches history to a customer or an address; HVAC needs it attached to the unit - model, serial, install date, refrigerant, warranty status - because the unit outlives both the tenancy and often the building owner.

And the year is not flat. Two weeks in July can carry a quarter. Capacity planning that assumes steady demand is planning for a business you do not run.

  1. Agreements as first-class objects Renewal dates, visits drawn down, what is covered, what is billable. Not a recurring job template with the terms in a note field.
  2. History attached to the unit, not the address Serial, model, install date, refrigerant type, warranty expiry, every visit it has ever had - so the technician arrives knowing what is on the roof.
  3. Warranty claims tracked to settlement Manufacturer claims have their own deadlines, forms and failure modes. Unclaimed warranty is money you have already spent.
  4. Seasonal capacity, not average capacity Scheduling that plans against the peak and protects agreement customers when the phone does not stop.

Buy first. Build only if this is you.

Not usually, and not at first. The common shape is a system alongside it that owns the part ServiceTitan handles badly for you - agreements or equipment - with the data flowing both ways. Replacing everything at once is how these projects go wrong.

Can technicians use it offline?

They have to. Plant rooms and roofs do not have signal. That means local storage and conflict handling designed in from the start, not added later.

What about refrigerant tracking?

It is a regulatory requirement in most markets we work in and a normal part of the data model: cylinder, charge, recovery, per unit. Tell us which jurisdiction and we will build to that regime.
